- Yacht Maintenance/Service History
Track maintenance task details to create a service history; - Create a stores requisition for materials required to complete task - for better accountability;
- Generate task lists for each support team member, e.g. electrician, plumber, rigger, etc.
- Tasks can be scheduled, and regular tasks can be scheduled on a weekly, monthly, or annual basis;
- Each task can have digital assets attached to it, for example survey reports, photographs, contractor invoices, etc.
- Inventory Management
- Manage an unlimited number of components each with it's own unique reference number;
- Track information about weight, size, and classification of each component;
- Attach electronic documents, including Word documents, Excel spreadsheets, PDF documents, electronic drawings and images, to each component;
- Create a link between the component and the suppliers, including supplier part number, price information and pack size;
- Create component 'kits'. A kit can contain an unlimited number of items, and a kit can be part of another kit.
- Purchasing
- Save supplier's details;
- New orders can have either an automatically generated or a manual purchase order number;
- View a component's order history before ordering;
- Support for regular/scheduled orders;
- Each user has an order total approval limit. Orders exceeding the allowed limit must be submitted for approval (by e-mail) to a user with a higher approval limit;
- Support for multiple delivery locations;
- Access controlled by group security allowing create, view, approve and close purchase order.
- Stores - Good In
- Track current stock level for each component - real-time and projected stock levels;
- Alerts when an item's stock level approaches, or falls below the minimum stock level;
- Delivered goods are booked into Stores with support for part delivered orders;
- Generate return notices for faulty or damaged items.
- Stores - Good Out
- Each Stores requisition is assigned to a yacht, and each item on the requisition assigned to a cost code; this is for greater accountability and to build the service history for the yacht;
- Automatic generation of pick notes for stores staff, and delivery notes to attach to the requisition;
- Support for part issued requisitions;
- Access controlled by group security allowing create, view, approve and close requisition.
- Asset Tracking
- Once Asset Tracking is enabled for a component, components can be tracked using either serial number/location, batch number, service hours or expiry date;
- Components that have Asset Tracking enabled can be tracked for
- location, e.g. life raft with serial no. xxxxx was put aboard 'White Hawk' on 19/02/2005,
- service hours, e.g. main engine has done 2,439 hours at last service,
- expiry date, e.g. flare pack onboard 'Spirit' expires 12/09/2006
- Reports
- A powerful reporting module allows user the generate reports on all modules of Yacht Manager, and then save the report as a template for future use;
- Reports can be sent as PDF documents, Excel spreadsheets or Word documents via e-mail;
- Regular scheduled automatic reports can be set-up to send specified users reports on a weekly, monthly or annual basis via e-mail.
- Dynamic Document Management
- DDM allows you to create and store generic documents that can then be customised and saved. For example, the terms and conditions could be created and then customised for a specific project.
- Each document is stored as chapters or sections, chapters/sections can then be added together to form a document unique to a particular client.
- Each revision of the document is stored for future reference.
- Security
- Access to all parts of Yacht Manager are controlled by user level security which is controlled by the system administrator;
Each user is assigned to a group, with each group having a specific role and access rights; - The entire program is secured using Secure Socket Layer (SSL) technology, similar to internet banking.
